Processes and Procedures – Professional Learning

A collection of our required forms and these Processes and Procedures is accessible to all JCSS personnel on Google Docs.

All training participants must complete a minimum of 10 hours per training to receive a PLU and / or stipend. Combining workshop hours is not permitted. Each workshop must meet the 10 hour requirement.

Registration and Documentation - Completion of the following forms is required for participation in the JCSS Professional Learning program:

1) Course Syllabus Form:
Prepared By: Course Coordinator
Submitted To: JCSS Professional Learning Coordinator
When Submitted: 15 Calendar days prior to the date of the course

This form must be completed and submitted to the JCSS Professional Learning Coordinator by the Course Coordinator as soon as the course is planned, but a minimum of 15 calendar days prior to the date of the course. If approved, the PL Coordinator will assign a Course number to the training. The Course Syllabus must be approved before PLU credits and / or stipends are promised to participants. The Course Coordinator may or may not be the teacher of the course. Course Coordinators will be appointed by the PLC for system level trainings and by the Principals for school level trainings.

2) Registration Form:
Prepared By: Participants (Prior to training)
Submitted To: Course Coordinator
When Submitted: 10 Calendar days prior to the date of the course

This form must be completed by all proposed participants and submitted to the Course Coordinator. The Course Coordinator will compile and submit them to the system Professional Learning Coordinator 10 calendar days prior to the training.

3) Completion Form:
Prepared By: Participants (After training has been completed)
Submitted To: Course Coordinator
When Submitted: 3 Calendar days after the training is complete

This form must be completed by all participants in each workshop. It should be submitted to the Course Coordinator within 3 calendar days after completion of the training.

4) Request for Payment Form:
Prepared By: Course Coordinator
Submitted To: School Administrator
When Submitted: 5 Calendar days after the training is complete

This form should be completed by the Course Coordinator and MUST have the workshop sign in sheets attached. This form shall be submitted to the School Administrator within 5 calendar days after completion of the training.

5) Verification Form:
Prepared By: School Administrator
Submitted To: JCSS Professional Learning Coordinator
When Submitted: 7 Calendar days after the training is complete

This form will be completed and submitted by the School Administrator to the JCSS Professional Learning Coordinator within 7 calendar days along with the Request for Payment Form and a Completion Form for each person listed on the Request for Payment Form.


The JCSS Professional Learning Coordinator will process all stipend requests and will maintain a compiled PLU transcript for all system personnel.
